  • Description: Role summary • This role is responsible for all of the tasks associated with processing of warranty claims and labor credits within the HVAC department. This position requires a technical analysis to ensure compliance with the established Warranty Policies & Procedures in effect at the time of repair. This role requires consistent communication with outside vendors, technicians, and support persons to ensure that the warranty claims are accepted and credited via the Warranty Audit Trail. Timely processing and attention to detail ensures an accurate claim process to avoid unnecessary rejections. This role also provides direct and timely support for field staff, and corporate employees through telephone and email regarding claims input via online applications; as well as, clarification of warranty coverage, eligibility, and providing instructions on where to obtain needed information for proper claim processing. Finally, this role trains field employees (service techs) regarding Warranty Policy and Procedures, and communicates effectively as it pertains to Warranty Claims.                                              Role responsibilities · Applies knowledge of Warranty Policy & Procedures, and Technical Bulletins to ensure appropriate claim type is applied, and credited. Maintain Master Log using Smartsheet. · Verify replacement parts are in compliance/approval of the manufacturer. Check the repair date to the warranty start date to make sure the parts are within their warranty coverage. · Identifies non-compliant claims, claim errors, and the validity of technician's repair notes before submitting claim. · Researches the accuracy of claimed part numbers utilizing manufacturer’s websites, internal purchasing orders, and product knowledge to assure correct claim payment. · Properly submit for claimed labor operations and communicate the validity of the warranty repair based on the diagnosis from the technician, then properly dispose of the warranty part according to the manufacturers directives. · Research and respond to all vendor warranty claim status and follow-up questions via email and phone calls in a timely manner. Required Education: · Technical knowledge of HVAC equipment; and the repair process of service parts.                                                                                                           Required Skills: · 1-3 years of experience; Forklift certification, and clean driving record is a plus. · Ability to lift, move, and place equipment up to 50lbs on a frequent basis. · Working knowledge of Microsoft Office; Word, Excel, PowerPoint, Smartsheet, SAP, Servrep.
