Position Overview

The Benefits & Compensation Assistant will be responsible for assisting the Benefits & Compensation Supervisor in the administration and communication of employee benefits, leave of absence, compensation programs. This position will require strict confidentiality with highly sensitive employee information. This role requires strong communication, presentation, and analytical skills. Strong organizational and time management skills will be required in order to manage multiple priorities in a fast-paced deadline driven environment. The selected candidate will be responsible for the following:

Technical Responsibilities of the Job

  • Produce and disseminate benefit plan eligibility and deadline information to employees.
  • Processes group health insurance enrollments via carrier websites and ensure accuracy of enrollment data.
  • Communicate with employees regarding employee benefit plans during new hire orientations, Open Enrollment periods and on an ongoing basis as needed.
  • Processes COBRA Qualifying Events.
  • Represent or assist Benefits Administrator at meetings
  • Prepare paperwork and provide administrative support with the coordination leave of absence related to FMLA, ADA, USERRA, and PDL to include:
  • Prepare leave of absence packets
  • Review medical certifications supplied by the healthcare provider and determine if condition is valid under the laws of Family Medical Leave Act.
  • Determine the duration associated with the FMLA based on the information given by the healthcare provider.
  • Communicate Disability and FMLA approvals, denials, leave extensions, recertification’s, return to work plans to all Supervisors, Managers
  • Distribute of Employee Performance Evaluations on a weekly and monthly basis and scan information.
  • Data entry of employee evaluation and new hire information as assigned.
  • Assist with processing employee separations and conduct exit interviews as needed.
  • Maintain/update electronic employee files for employee benefits, leave of absence and compensation and ensure employee data integrity.
  • Assist with the development and documentation of standard work for procedures and processes.
  • Prepare various routine reports and distribute them to applicable department as needed.
  • General Office duties (filing, faxing, email & letter correspondence).
  • Support of HR department goals and Reception coverage as needed.

Training/Certification

  • Requires 2 to 5 years of office or HR related experience.
  • Experience in Benefits & Compensation is preferred but not required
  • Familiarity with employment law and HR related practices is a plus
  • Proficient in Microsoft Word, Excel & Outlook
  • Bilingual in Spanish and English
