Position Overview

An HVAC Estimating Manager is responsible for ensuring all work performed meets current codes and Villara’s exceptional quality standards. The Estimating Manager will oversee the Estimating, Options and FAB process for all HVAC activities to our builders. Additionally, the Manager will plan, organize, and direct the activities of the Supervisors, including the preparation of construction cost estimates, budgets, and value engineering, based on Villara’s design and bid strategy criteria. This role will promote and maintain sales in accordance with the company’s business plans. The Estimating Manager answers directly to the Vice President.

  • Receive directions and “Scope of Job Activities” from Vice President in meetings held for that purpose
  • Coordinate the operational activities of staff, and resolves day-to-day administrative and/or operational issues

  • Develop and ensure the delivery of structured onboarding for all new Estimating employees
  • Regularly collaborate with the Purchasing Team, and ensure cross-departmental processes are continually upgraded to improve workflow and company profitability
  • Support the continued growth of Villara’s company culture and encourage a positive attitude within the team
  • Attend classes and seminars inside and outside the company to continually develop skills
  • Recommend measures to improve production methods and quality of product through Gemba Walks and Lean principles
  • Attend bi-weekly Job Costing Meeting and use the information to create action items.
  • Work closely with internal supervisors to ensure the team is performing to expectations; provide individual training and coaching as needed.
  • Develop, research, apply and recommend Value Engineering Principles and Methods to reduce project construction costs.
  • Ensure there is strong communication and processes metrics are being followed between Field Operations and Internal Departments.

Job Summary

The Dispatcher supports the day-to-day operations of the Home Service Department by efficiently scheduling and dispatching technicians to calls. This role requires the dispatcher to think critically to ensure they are dispatching the best fit technician for the call.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Good communication with the client is essential! Make sure that taking care of the clients takes higher priority than any other task and that the clients are enthusiastic about how they are treated. Have a courteous and pleasant demeanor whether on a phone call or not. Know that courteousness affects other team members’ spirit.
  • Dispatch all service calls to ensure maximum scheduling efficiency without compromising client satisfaction.
  • Manage the dispatch board to keep field personnel on the move and generating revenue. Make every effort to compress call scheduling effectively and maximize productivity.
  • Notify clients ahead of time without fail if the technician is not going to arrive at their home within the scheduled time window and re-scheduling the time at the client’s convenience.
  • Communicate with the Purchasing and Warehouse Coordinator to help arrange efficient delivery of parts to the technicians. Every effort should be made to keep technicians on the job.
  • Strictly adhere to the Dispatching for Profits Priority Service Schedule to ensure the “Right” technician is sent to the “Right” appointment.

Position Overview

The primary focus of a Project Administrator is to oversee and perform administrative functions concerned with customer projects. This may include contacting contractors, establishing billing requirements, insurance coverages and any builder specific contract requirements.   • Upon contract approval by Villara, create and enter (book) project’s contacts, billing rates, specifications, elevations, Title 24 information, and materials into SAP application system.
  • Review builder’s contract for language discrepancies. Verify insurance requirements and adequate coverage for project.
  • Retain approval for contracts revisions, addendums, and change orders and store electronically
  • Contact builders for revised contracts, change orders, addendums, and forms completion.
  • Load billing materials (BOM) to project’s lot and WBS elements level. Calculate and post billing points to each WBS elements. Verify billings points match purchase orders, prepare and issue bills, invoices, account statements, and other financial statements for projects.
  • Enter approved change orders; Create and maintain project folder file; update files and SAP database systems.
  • Identify and maintain new construction project releases or homeowner options on builder websites and Supply Pro. Review billing requirements, notices and billing approvals.
  • Maintain consistent daily productivity including booking and billing pace based on the day’s work load.
  • Review and maintain Billing Due reports daily to identify aged TECO’s that have not been approved by the builder; follow up with builders for purchase orders.
  • Create project folders; download all electronic documents: maintain any electronic files as necessary; scan and archive project record files.
  • Attend project turnover meetings as required.
  • Process project’s liens releases upon final invoicing.

Position Overview

The Plumbing Estimator will work closely with our Senior Estimator to create competitive plumbing estimates.

The essential functions and responsibilities for this position include but are not limited to the following:

  • Provide consistent levels of job bidding activity as directed by the Estimating Supervisor.
  • Provide direct support to the Field and in office team for all estimating activities and needs.
  • Promote a positive reinforcement and support of Company and Division policies and directives to all personnel.
  • Adhere to and ensure proper implementation of the Division standard processes and practices.
  • Manage and maintain company resources in a positive and efficient manner.
  • Participate in required meetings with Field supervisor to facilitate proper transfer of project responsibility and understanding.
  • Provide all required documentation to facilitate turning the project over to the Field Supervisor.
  • Ensure accurate job take-offs and estimates.
  • Ensure timely follow-up with all bids and contractors.
  • Ensure timely production of all project correspondence such as estimates, proposals, follow-up information, etc.
  • Communicate, in a timely manner, all required information for the project set up.
  • Recognize potentials for value engineering and other strategies that may improve opportunity for advantages over the competition.
  • Keep all bidding strategies confidential.

 

Training/Certification

  • Microsoft Office (Word, Excel, Outlook) experience required.
  • Must be well versed in Excel i.e. Creating, Formulas, Tables and Formatting.
  • Ability to calculate figures and amounts such as discounts, interest, commissions and percentages
  • Ability to effectively organize and estimate multiple projects at one time while meeting deadlines.
  • Analyze plans, specifications and other documentation to prepare time, cost, materials, and labor estimates.
  • Accurately process information and enter data using estimating program.
  • Strong writing skills and ability to communicate effectively.
  • Experience in Plumbing and/or the construction environment.

  • Experience in plumbing or the construction field.
