We seek a highly organized and detail-oriented Parts Coordinator/Expediter to join our team. The Parts Coordinator/Expediter will ensure efficient management and distribution of parts and components to support our operations. This position is ideal for an individual who thrives in a fast-paced environment, possesses strong communication skills, and can maintain accurate inventory records.

Key Responsibilities:

  • Contact vendors, place orders, verify supplies, manage supply requisition and communicate with suppliers to determine expected delivery dates and inform Technicians of potential delays.
  • Collaborate with Technicians for updates on delivery timelines
  • Ensure interdepartmental communication for improved coordination of productive operations.
  • Compile, record and report project performance and progress to management and key stakeholders.
  • Assist in the notification of materials to be purchased to the purchasing team
  • Work with a distributor to cross-reference parts and equipment and research online as well
  • Adding and maintaining materials and the accuracy of their information in Service Titan
  • Receive and process material orders in SAP for the organization’s HVAC and Plumbing departments.
  • Ensure Price and Availability meet the business needs.
  • Create Purchase Orders in Service Titan for plumbing and HVAC parts requests
  • Verify the accuracy of incoming orders track and notify the appropriate recipients.
  • Coordinate with Purchasing and Home Services team to ensure timely delivery of ordered materials
  • Ensure the materials being ordered are correct, working with technician as necessary
  • Correct orders requesting incorrect material requests, as necessary
  • Work with Technicians to ensure warranty returns are labeled per the best practices
  • Maintain organized records of all parts transactions in Service Titan, including Purchase Orders, incorrect orders, one-and-done orders, and returns.
  • Collaborate with internal departments to understand their parts needs and prioritize orders accordingly.
  • Communicate with external suppliers to negotiate terms, expedite orders, and resolve issues.

Qualifications:

  • High school diploma or equivalent; post-secondary education in supply chain management or a related field is a plus.
  • Experience in Plumbing and/or HVAC
  • SAP experience is a plus.
  • Proven experience in parts coordination, inventory management, or a related role.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using inventory management software and Microsoft Office Suite.
  • Ability to lift and carry moderate to heavy objects when required.
  • Knowledge of safety protocols and compliance standards in parts management.

The Dispatcher supports the day-to-day operations of the Home Service Department by efficiently scheduling and dispatching technicians to calls. This role requires the dispatcher to think critically to ensure they are dispatching the best fit technician for the call.

Technical Responsibilities of the Job

  • Dispatch all service calls to ensure maximum scheduling efficiency without compromising client satisfaction.
  • Manage the dispatch board to keep field personnel on the move and generating revenue. Make every effort to compress call scheduling effectively and maximize productivity.
  • Notify clients ahead of time without fail if the technician is not going to arrive at their home within the scheduled time window and re-scheduling the time at the client’s convenience.
  • Communicate with the Purchasing and Warehouse Coordinator to help arrange efficient delivery of parts to the technicians. Every effort should be made to keep technicians on the job.
  • Strictly adhere to the Dispatching for Profits Priority Service Schedule to ensure the “Right” technician is sent to the “Right” appointment.
  • Share responsibility to ensure that all technicians arrive at their designated appointments ON TIME.
  • Debrief technicians after each call and insist that all employees collect payment immediately after each job is completed.

Training/Certification

  • Prior dispatch experience in the Home Service Industry (HVAC, plumbing, solar) a plus
  • Strong customer service skills
  • Present and communicate professionally (written and verbal)

  • Strong knowledge of Microsoft Excel, Word and Powerpoint
  • Working knowledge of ServiceTitan a plus
  • Must be a critical thinker – Strong English composition skills

Position Summary:

The Technician will be responsible for troubleshooting and diagnosis of HVAC Systems for residential and multi-family dwellings. Basic computer skills will be require for data entry. The majority of calls will be after hours so flexibility with schedule is essential for this position. Attention to detail is a must.

Technical Responsibilities of the Job:

  • Maintain, diagnose and correct problems throughout the entire HVAC system.
  • Perform all of the low voltage wiring for the indoor and outdoor unit
  • Test electrical circuits and components for continuity, using electrical test equipment
  • Start up the furnace for the first time to burn all of the manufactures oil off
  • Add the proper charge to the A/C once started up
  • Test pipe or tubing joints and connections for leaks, using pressure gauge or soap-and –water solution
  • Adjust system controls to setting recommended by manufacturer to balance system, using hand tools
  • Recommend, develop and perform general maintenance procedures such as cleaning, power-washing and vacuuming equipment, oiling parts and changing filters.
  • Comply with all applicable standards, policies and procedures, including safety procedures and the maintenance of a clean work area
  • Adjust system controls to settings recommended by manufacturer.

  • Lay out and connect electrical wiring between controls and equipment according to wiring diagram, using electrician’s hand tools
  • Install auxiliary components to heating-cooling equipment, such as expansion and discharge valves and dampers while following blueprints

  • Join pipes or tubing to equipment and to fuel, water or refrigerant source, to form complete circuit
  • Fabricate, assemble and install duct work and chassis parts, using portable metal-working tools and welding equipment

Position Overview

Manage the organization’s safety programs to protect employees and the company across field and plant operations, service departments, and fleet management. Formulate and enforce work safety standards and procedures to prevent accidents, and other unsafe conditions. Ensure compliance with OSHA, federal, and state regulations, including a thorough understanding of California worker’s compensation laws. Build strong relationships with internal leaders and customers to promote a culture of safety. Supervise safety support staff and advise management on corrective actions.

 

Technical Responsibilities

  • Manage a team of safety specialists across various business units, including installation, manufacturing, warehousing and fleet management.
  • Develop and manage the safety department’s budget, aligning with organizational goals.
  • Facilitate safety meetings and trainings across departments and lead two safety committees (Auto Review & Safety Improvement).
  • Oversee periodic review and updates of safety trainings and certifications.

Position Overview

This position is for the review of Residential Construction Drawings for compliance with the California State Energy Code. Information taken from the drawings is put into a State Certified Computer Program and compared to the minimum requirements of the Energy Code. Compliance documents are printed from the program and given to the Builder for submittal to the Building Department.

The essential functions and responsibilities for this position include but are not limited to the following:

  • Read blueprints for the Energy Compliance Analysis.
  • Run energy calculations for homes using CEC approved software (i.e. Micropas, EnergyPro, etc.)
  • Produce AutoCad drawings for Builders with the Certificates of Compliance.
  • Interact with Builders and their Architects regarding their specific needs for certain energy features.
  • Create Summary of Required Energy Features for the Builder and the Villara Estimator for T24 Compliance and (if the Builder is participating) the SMUD, PG&E/Energy Star programs.
  • Organize T24 Compliance computer files, file hard copies of T24 reports, shipping of documents to builder.
  • Communicate with builders and customers with new residential building plans on Title 24 compliance.
  • Work with builders to ensure all plans pass Title 24 compliance.
  • Use analytical skills in diagnosing challenges and redesign plans for energy and cost efficiency.
  • Ensure profitability of jobs through designing plans.
  • Ensure total customer satisfaction to builders and customers.
  • Corresponds with engineer or owner to clarify questions, obtain information or establish qualifications.
  • Bill builders for service provided and forward collection to Accounts Receivable.

Training/Certification

  • Experience in using AUTOCAD software.
  • Proficient in Microsoft applications such as Outlook, Word, and Excel.
  • Must be able to understand percentages, additions and subtracting, calculations of square footage of windows, room lengths and lineal footage.
  • Must have exceptional written and oral communication skills.
  • Must possess strong attention to detail and ability to work in a flexible environment.
  • Must have knowledge of building construction techniques, Materials, and understand the principals of energy conservation standards.
  • Must understand the basic principal of HVAC design and the equipment that applies.

Education

  • Associate’s degree (A.A) in mechanical engineering or related field; and /or 3 plus years of equivalent experience in construction or related fields.
  • Continued education of innovations and changes in the HVAC industry.
  • Certified Energy Plan Examiner or Certified Energy Analyst credentials are desired but not required.
